A one-station café on our Own-it plan pays $1,800 for hardware, then $99 to $299 a month for software, plus card processing. A two-station dining room with two handhelds comes to $3,900 in hardware. Here's how that adds up, and what to add to it.
Hardware: you buy it once and it's yours
Every kit includes install and staff training, a gateway we monitor, and a pin pad that keeps taking cards when the internet drops.
| Kit | Price | What's in it |
|---|---|---|
| Countertop | $1,800 | 15.6" station, receipt printer, cash drawer, pin pad |
| Handheld | $1,000 | Quantic Lite handheld with card reader and printer, Wi-Fi access point |
| Bar & Nightlife | $2,600 | Station, printer, drawer, pin pad, one handheld for the floor |
| Retail | $2,300 | Station with customer display, printer, drawer, pin pad, barcode scanner |
You don't buy a second kit to grow. Each extra station is $900 and each extra handheld is $600, and each one needs its own license. So the dining room above is:
- Countertop kit: $1,800
- One more station: $900
- Two handhelds at $600: $1,200
- Total: $3,900 in hardware, plus the station and handheld licenses for the extra devices
The full add-on list, including kitchen displays from $900, is on the pricing page.
Software: month to month, three tiers
| Tier | Monthly | Yearly (10% off) | What it adds |
|---|---|---|---|
| Essentials | $99 | $1,069 | Menu, modifiers, tabs, tips, split checks, end-of-day reports |
| Core | $199 | $2,149 | Online ordering, QR menus, DoorDash Drive dispatch, kitchen display license |
| Growth | $299 | $3,229 | Loyalty, gift cards, reservations, text marketing |
Each tier is priced per location and includes one station license, remote support and network monitoring. If you want a kitchen display, plan on Core, because that's the tier that includes the KDS license.
If you close for the off-season, ask about Winter Freeze. We bill software for the seven months you're open and pause it for the five you're not.
Processing: the cost that never stops
This one matters most over time, so here's exactly what we charge.
Interchange-plus: the wholesale cost the card networks set, passed through at cost, plus 0.30% and 10¢ per transaction. Our margin is that 0.30% and 10¢, and it's printed on every statement.
Processor pass-through fees: about $34 a month for the account, PCI and statement access. These are billed at the processor's cost with no markup and itemized on your first statement. Leave this out of a budget and you'll be $400 short by the end of the year.
Three ways to pay for it
- Own it. Hardware at list price, no term, interchange-plus. This is the cheapest of the three over time.
- Cash discount. Hardware is 50% off and software is free for 12 months. Customers who pay by card see a 3.99% service fee, and cash prices stay as posted. You can switch back to Own it whenever you like. Ask your accountant how the receipt disclosure applies to you before choosing this one.
- $0 upfront. Available by application if you have 12 months of processing history. Hardware is paid back through the cash-discount program, and if you leave early you buy out the hardware.
A first-year example
Take a one-station counter-service spot doing $30,000 a month on cards, on Own it with Essentials:
- Hardware: $1,800
- Software: $1,069 if paid yearly
- Our processing margin: about $90 a month from the 0.30%, plus 10¢ per transaction
- Pass-through fees: about $34 a month
- Interchange: depends on your mix of debit, credit and rewards cards, and it's the same no matter who you process with
Hardware care is optional. It's $15 a month or $150 a year for the whole kit. It covers advance-replacement swaps on a same-day flight, accidental damage, and help with the annual PCI questionnaire.
Comparing with Toast, Clover and Square
Ask any provider three questions. What is the hardware price if I pay cash for it? Is there an early-termination fee? What's the rate on a basic debit card? A $0-down offer usually shows up in the answer to the third question.
